  • How to fill out the form: It has two columns
    A. “Quantity” is required to fill
    B. “Consideration Factors for Digital Archives” is optional
    (1) Only numbers are filled in “Quantity,” for which a perfect accuracy is not demanded. Being 90% accurate would suffice it.
    (2) “Consideration Factors for Digital Archives” merely serve as references for the Program Office and the Committee of Content Development. Check the boxes for factors considered.
  • Numbers: CD─Thematic Codes─Years─Institutional Codes─Serial Numbers. Details are as follows:

The institutions are requested to put the projects in order. The first form is 001, and so on.

  • Archives titles: Please name a cluster of collected items as a unit, and fill out one form for each cluster. Fill in the extra section if more detailed items are included. The institutions are requested to decide how to categorize the clusters.
  • Estimated quantity of collected items that are to be digitized from January 2002 to December 2006
  • Administrative Institutions of the Collections: Institutions or sites where collected items are located (Ex: Fu Ssu-Nien Library, Institution of History and Philology)
  • Progress and number of digitized items from January 2001 to December 2001. This section is divided into four columns of “Quantity of original collected item,” “Digitization of actual materials,” “Digitization of collected item content,” and “others”.
    (1) Quantity of Original Collected Items: Please fill in the quantity of original collected items that are being preceded in Digitization Work Process. Please note that quantity units (books, pieces, sheets, volumes, etc) can be counted in the smallest ones such as pages, frames, etc.
    (2) Digitization of Actual Materials and Digitization of Collected Item Contents: Please fill in the quantity of original collected items that are being preceded in various stages. Definitions of stages are as follows. The participating institutions are allowed to add, remove, or revise them and the entries of digitization work progress accordingly with explanatory notes if projects require different definitions to each stage.
    A. Digitization of Actual Materials (Image Database)
    a. Examination and restoration of collected items: quantity of collected items to be digitized that have passed examination and restoration
    b. Output of digital images: quantity of digitized photo files with each file as an unit (in MByte)
    c. Initial verification: quantity of digitized images of photo files that have been verified and made proofs in the first stage
    d. Unification with intellectual property rights management mechanism: quantity of photo files that have been water marked and encrypted by the information department in the intellectual property rights management mechanism
    e. Further verification: quantity of items that have been completed in the intellectual property rights management mechanism and have passed the final verification in the second stage
    B. Digitization of Collected Item (Table of Contents or Full-Text Database)
    a. Registration and arrangement of collected items: quantity of collected items that have been registered and arranged
    b. Description or citation of collected items: quantity of collected items that have been described and cited
    c. First proofreading stage: quantity of items that have been proofread in both a. and b. processes mentioned above
    d. Analysis of value-added content: quantity of items that have been through “authority control,” subject analysis,” “keyword spotting” etc.
    e. Second proofreading stage: quantity of items that have been proofread twice in both a. and b. processes mentioned above, or that have been through verification of d, analysis of value-added content
    f. Public use: drawing up regulations for use, and the amount of digitized data for public use
    (3) Provided that items are not images after being digitized or that their working progress is different due to distinctions of collected items, please fill in “others” the produced medium types (such as video files, audio files, video-audio files, etc.) and their working progress
  • Consideration Factors for Digital Archives: Proposed by each project. All are referential columns, the institutions are requested to evaluate their projects and check the boxes when necessary.
    Notes:
    a. Degrees of Evaluated Rank: Ministry of Education Standards, Confidential Degrees, etc. Please add standards of evaluation and classification in the remarks column upon checking.
    b. Degrees of Treasure: Originality, Rarity, Epochal Values, Irreplaceability, etc.

    Please submit the list of items to be digitized from 2002 to 2006 when it is ready. Thank you!
